Fleet management

Fleet management.

An overview of the work that goes into a well-organised fleet – from procuring vehicles through ongoing cost control to administration. We are happy to answer questions directly by telephone or on WhatsApp.

Fleet management

Your fleet, professionally run.

Fleet management brings together the work surrounding a business's company vehicles – from choosing new ones through ongoing cost control to handling damage. The point is that you can concentrate on your core business while contracts, deadlines and vehicles stay in view.

Alongside this we already offer two specific services around company vehicles today: the lease takeover when a vehicle changes, and the lease return with a condition inspection at the end of the term – both documented so they hold up in court.

This overview sets out the work that belongs to well-organised fleet management. For businesses in the Black Forest with their own fleet we are currently building out the remainder of the offering – do speak to us directly, and we will tell you honestly where we can already help you concretely today.

Every vehicle classFrom car through van to truck – the whole fleet from one office.
Duties metRecurring inspections and records stay documented without gaps.
Costs under controlEvery item is captured, checked and allocated to the right vehicle.
The difference

What you get back.

In the end this is not about vehicles but about what the fleet has been costing you: time, attention and an uneasy feeling about deadlines left open.

Time for the core business

Calls to the workshop, the lessor and the insurer take up hours that are missing elsewhere. Those hours come back to you.

Calm when you are inspected

When the records are filed without gaps, the question of keeper liability loses its sting.

Clarity about costs

Instead of estimating what a vehicle costs, you see it in black and white – vehicle by vehicle.

One number for everything

One named contact who knows your fleet – instead of shifting responsibilities and telephone queues.

Before & after

What actually changes for you.

The difference shows less in a number than in daily life – in who picks up the phone when something comes up.

Today
  • The workshop calls – and you settle the appointment between two of your own.
  • An invoice arrives and is paid without anyone checking the scope against what was approved.
  • The roadworthiness test date is noticed because the sticker catches your eye in passing.
  • After a collision you coordinate the workshop, the insurer and the appraiser yourself.
  • Asked what a vehicle costs per year, the honest answer is a shrug.
With fleet management
  • The workshop appointment is agreed before you even hear about it.
  • Every invoice is reconciled against the approved scope before it is released for payment.
  • Deadlines are in the calendar – in good time, not at the last minute.
  • One call is enough; the appraisal, the workshop and the insurer all come together with us.
  • The annual cost per vehicle sits analysed on the table.
Cost structure

What a vehicle really costs.

The leasing instalment is only part of the truth. The professional term is total cost of ownership across the whole period of use – from acquisition through operation to disposal. These are the items that belong to it:

Depreciation

One of the largest cost blocks there is, varying considerably by vehicle type and market conditions – yet it never arrives as an invoice.

Acquisition & finance

The purchase price or leasing instalment together with interest and the residual value calculated for the end of the term.

Kraftstoff & Ladestrom

The item that varies most with actual mileage – and differs markedly from vehicle to vehicle.

Servicing & tyres

Predictable workshop costs that look small individually and add up across the year and across the fleet.

Insurance & tax

Fixed costs that arise whether a vehicle is used heavily or mostly stands still.

Administrative effort

The working time that goes internally into organising, telephoning and coordinating. It appears on no invoice – and is therefore regularly underestimated.

What really drives cost is rarely what is obvious. Unplanned downtime, consequential damage and the effort of organising it all frequently weigh more heavily in practice than the monthly instalment that gets negotiated first.

The legal framework

Your duties as keeper.

As soon as you make a vehicle available to an employee, you carry the keeper's responsibility under German law – regardless of who is at the wheel. These duties recur regularly:

Licence check – permanently assigned company carChecking that the driving entitlement is still valid – documented as evidence.usually every six months
Licence check – pool vehiclesWhere users change, a considerably tighter interval applies than for a permanently assigned vehicle.before every journey
UVV driver briefingA briefing under the German accident prevention regulations, recorded in writing.annually
UVV vehicle inspectionA technical inspection of every company vehicle for safe operating condition.annually
Roadworthiness & emissions testThe statutory test interval, which differs according to vehicle type and first registration.per interval

Please note: This overview is a first orientation and is no substitute for legal advice. The duties arise among other sources from the German Occupational Safety Act, the accident prevention regulations and the Road Traffic Act; in an individual case different intervals may apply.

Working together

How we start together.

Four steps from the first stocktake to ongoing support – without you having to reorganise your business.

01

Taking stock

We build an overview together: which vehicles are in use, which contracts are running, which records exist?

02

Analysis

Where do the costs arise, which documents are missing, where does the process snag? You get an honest assessment – including when there is little to do.

03

Implementation

We take on the agreed tasks, bring contracts and deadlines into a structure and set up fixed procedures for claims.

04

Ongoing support

Deadlines, costs and damage stay permanently in view. You have one named contact instead of shifting responsibilities.

From practice

Does this sound like your business?

A fleet usually grows alongside the business almost by accident. At some point it costs more time and nerves than was ever budgeted for – without anyone being able to say precisely where the time actually goes.

The paperwork grows

Leasing contracts, invoices and registration documents lie scattered across different folders, mailboxes and glove compartments.

Deadlines slip through

The roadworthiness test, the UVV inspection or an expiring contract are only noticed once time is already short.

Nobody is really responsible

Fleet tasks end up incidentally in accounts, in the office, or on the boss's desk in the evening.

The costs stay unclear

What a single vehicle actually costs per year can hardly be worked out from the scattered invoices.

Time is lost after damage

The workshop, the insurer and the appraiser each have to be coordinated separately – and meanwhile the vehicle stands idle.

The liability question stays open

Whether every keeper's duty has really been met and demonstrably documented is something nobody can say for certain when it matters.

If any of that sounds familiar, you are in the same position as many businesses. These are exactly the points fleet management addresses – not with another piece of software, but by someone actually taking the work on.

The process

The life cycle of your vehicles.

Every company vehicle passes through the same five phases – from the first question of what is needed to the eventual return. Fleet management accompanies each one of them, so that nothing is lost at the transitions.

01

Requirement & selection

Which type of vehicle suits the job? Mileage, payload and specification are settled in advance.

02

Procurement & handover

Comparing offers, checking terms, ordering – and handing the vehicle over with a written record.

03

Day-to-day operation

Costs, dates and drivers' duties carry on – this is where most of the administrative effort arises.

04

Damage & repair

Recording the damage, the workshop, the insurer and, where needed, the appraisal all mesh together.

05

Return & disposal

At the end of the term, the documented condition decides what is charged afterwards.

In our experience the expensive surprises do not arise within these phases but at the transitions: when a vehicle is handed over without its condition being recorded, or when after damage nobody reconciles the invoice against the approved scope of repair.

Frequently asked questions

Questions about fleet management.

What exactly is fleet management?
Fleet management brings together the organisational tasks around a business's company vehicles: procurement, ongoing cost control, managing dates and deadlines, handling damage and meeting the vehicle keeper's statutory duties. The strategic decisions stay with the company.
From how many vehicles is fleet management worthwhile?
There is no fixed lower limit. As soon as several vehicles are in use and nobody in the business is formally responsible for them, work tends to accumulate that can be brought together. We look at your fleet and tell you honestly whether working together makes sense for you.
Does the decision-making stay with us in the company?
Yes. We take on the operational handling and prepare decisions for you. What is acquired, renewed or replaced is your decision.
Are you tied to particular leasing companies or manufacturers?
No. As an independent appraisal practice we are tied neither to leasing companies nor to manufacturers or workshop chains. Recommendations follow what you actually need and nothing else.
What makes you different from fleet software?
Software displays data – it does not telephone a workshop, check an invoice or assess damage. We take on the actual handling and so complement the systems you already have rather than replacing them.
What part does your appraisal expertise play in fleet management?
Where company vehicles are damaged, our core service applies directly: we produce the appraisal ourselves rather than having to commission it externally. That noticeably shortens the path from recording the damage to settling the claim.
